Overview

The company owner is the highest role in a workspace. They manage all HR workflows, reports, payroll, audit logs, settings, and subscription/billing. Within package limits they create users and assign roles such as HR manager, branch manager, attendance operator, and employee. They can request plan changes, license extensions, and capacity increases.

Business owners, directors, or executives who oversee HR, finance, and IT.

Responsibilities

  • Maintain company profile, branding, and core policies
  • Manage branches, departments, positions, shifts, and attendance rules
  • Onboard employees and approve resignations
  • Create admin users — HR manager, branch manager, attendance operator
  • Request billing changes: plan upgrades, extensions, capacity increases
  • Approve payroll runs and export payroll/attendance reports
  • Oversee K60 devices and HR Sync Agent connectivity
  • Review audit logs for critical changes
  • Choose package tier for features such as analytics and API access

Request more employee capacity

  1. Go to Billing → Request more employees
  2. Review usage (e.g. 150/150) and days until license expiry
  3. Choose how many additional employees — see prorated estimate
  4. Submit and pay the invoice via KBZPay or bank transfer
  5. After approval, max employees increases and you can add staff

Extend license

  1. Billing → Current plan → Extend subscription
  2. Pick 1, 6, or 12 months
  3. Invoice includes plan price plus recurring employee/user add-ons
  4. Pay to extend license and keep using the system

Assign an HR manager

  1. Users → Create user with HR manager role
  2. Link to employee record if needed
  3. Delegate day-to-day HR while you focus on billing and policy

Roles you can assign

Higher roles can create users with the roles below (within package limits).

Limitations

  • No platform Super Admin permissions
  • Cannot exceed package employee or user limits without capacity approval
  • Cannot submit a new plan change while another billing request is pending
  • Downgrade blocked if current usage exceeds the target plan limits

Mobile app

Owners primarily use the admin web panel. If also provisioned as an employee, portal features (check-in, leave, payslips) work in the mobile app.

FAQ

Can HR managers request billing changes?

No. HR managers have billing.view only. Plan changes, extensions, and capacity requests are owner responsibilities.

Should owner and employee accounts be separate?

Recommended for security and clearer audit trails. Create a dedicated employee user if the owner needs mobile check-in.

How is capacity priced?

First capacity requests and extension invoices are prorated by days remaining (or months) until license expiry.

  • Hire an HR manager early and delegate operations
  • Extend license before expiry — avoid service interruption
